Application Procedure for Japanese Visa
for the Participants of TRIZ Symosium in Japan

  Japanese Visa Arrangement

Important:  Citizens of Russia, Ukraine, China, India, Malaysia, Philippines, Thailand, etc. need to apply for Japanese visa.

Since the procedure usually takes about 2 months and needs a lot of formal paper work, please write your intention of participation as soon as possible if you need or might need the Japanese visa.

For the people who want to apply Japanese visa for attending at our Symposium, the Symposium Office has to submit some Invitation Letter and Letter of Guarantee to our Government (through Japanese Embassy).  Unfortunately we recently had an experience that the visa application document issued by us was abused.  Thus, we have decided that "Any person, except for the Authors of the accepted Symposium papers, who requests us to issue Japanese visa application documents should submit a one-page Position Paper on his/her work/interests in TRIZ in the format of our Extended Abstract (Form B of Call for Papers) by the due date Jul. 10, 2008."

  Outline of Preparation for Obtaining the Japanese Visa

(1) Send us your Registration Form of Japan TRIZ Symposium (on a temporary basis) (by Jul. 10, 2009)

(2) See the Official Web pages of Japanese Government for the general information about Japanese visa, and make an access to Japanese Embassy or Consulate in your country for obtaining more concrete information for the Visa application.

(3) If you are not one of the Authors of accepted papers to be presented at our Symposium, please send us your "Position Paper".  We will decide whether to accept you as a participant or not. (by Jul. 10, 2009)

(4) Please send us your personal infomation, travel plan, and some official documents from your organization, etc., which we need in writing the documents (5) for you.  And send us the Symposium Registration Form in the final form.

(5) We will send you some documents, including Invitation Letter and Letter of Guarantee.

(6) You must submit the Visa Application in person to Japanese Embassy or Consulate in your country, attaching the documents (5) we have provided for you.

(7) The Japanese Embassy or Consulate sometimes consults the Ministry of Foreign Affairs (in Tokyo), and sometimes the Ministry even inquires us directly for our confirmation of Guarantee.  (Note: Citizens of Russia, CIS countries, China, etc. need to take account of this possibility and hence the delay in their decision.)

(8) The Japanese Embassy or Consulate issues you a visa. (You need to obtain this at least several days before your departure.)

(9) Then, at the arrival airport in Japan, you have to show your visa to the immigration officer to enter Japan.

Format of the Position Paper:  Use Form B (for Extended Abstract) 

Please describe about your organization and yourself, how have you been intereseted and working in TRIZ, what do you want to learn and do in the Symposium, and what is your plan afterward, etc.

(5) We will send you some documents, including Invitation Letter and Letter of Guarantee.

These documents will be sent to you via Air Mail (i.e. Postal mail or some express delivery). (Allow at least one week for delivery.)

(6) You must submit the Visa Application in person to Japanese Embassy or Consulate in your country, attaching the documents (5) we provided for you.

List of items you need to submit together with the Application form:

passport;
two 45mm x 45mm passport-type photos taken within the previous six months (stateless persons must submit three photos);
two official visa application forms, available at the embassy or consulate documents certifying the purpose of the visit;

A ticket for boarding an airplane
Documents certifying that the person concerned can defray all expenses incurred during the stay in Japan.

Some details of the procedure is different depending on the country of the participant's citizenship:

Typical paths for obtaining visa are as follows (source: MOFA's Web site, Visa Top Page )

The path (1) is the usual case for the citizens of Thailand, Malaysia, India, etc.

The path (2) is usually applied for citizens of Russia, CIS countries, China, etc.   Note that it takes much longer time, about 4 to 6 weeks for their decision.
